Privacy Management Program Guide



This definitive Framework Guide will help you build and manage your organization’s Privacy Management Program, (PMP), without overextending resources in a focused, timely manner. The Guide outlines common foundational records that capture the rules, processes, and references of a local government’s PMP. It provides examples, checklists, and references to streamline PMP development, that can be adapted and customized as appropriate for your local government’s size, volume, and the sensitivity of personal information (PI) in your custody or control.

Release of Property Records Reference Guide


The Release of Property Records’ Reference Guide categorizes frequently requested property records into three different classes of documents, those that can be routinely released by Building Counter staff, with or without routine severing, and those that must be requested via a formal freedom of information (FOI) request. The Guide includes Tables that detail individual record types for each category to support decision-making for front counter staff, which can be customized to suit your local government processes, procedures, and record types.

Privacy Impact Assessment Templates


The resource includes two Privacy Impact Templates developed specifically for local governments. The first template is a Preliminary Privacy Impact Assessment that will help decide whether a project or initiative needs to complete a formal, full Privacy Impact Assessment, (PIA), including technical, security and privacy risk assessments. The second template walks you through the detailed PIA process to complete a formal, full PIA.

Onboarding and Offboarding Records and Information Management for Employees and Elected Officials   


This resource package includes two checklist templates: one for Onboarding and Offboarding Employees and the other for Elected Officials, as well as a template to build an Onboarding and Offboarding Procedure for Elected Officials. The Checklists provide the detailed steps an organization should take when new employees and elected officials begin their term and when the term ends. The Procedure template provides general guidelines that you can use to design an official procedure to onboard and offboard elected officials.
