Policy 013: Inter Association Travel

POLICY STATEMENT:

It is the policy of the LGMA to maintain an LGMA presence at other related associations and invite representation from other related associations to the LGMA annual conference.

POLICY BACKGROUND:

That we create a firm policy which states exactly what the LGMA will provide to the incoming guests for our annual conference and that we outline criteria which defines who we send as a delegate to conferences of other associations.

POLICY GOAL:

To interact and exchange ideas with related associations in other provinces and neighbouring states.

POLICY OBJECTIVES:

  1. The LGMA may invite a representative from any related association to attend the LGMA conference under the following criteria:
    1.  The registration fee will be waived by the LGMA during the conference for the delegate only, partners will pay regular fees.
    2. The Executive Director shall determine within the conference budget, which reciprocal associations are to be invited to send a representative.
    3. The registration fee will form part of the conference budget.
    4. In a situation where a reciprocating association also includes accommodation with their invitation to the LGMA delegate, the LGMA may include complimentary accommodation with the LGMA's invitation. 
  2. The criteria for sending a representative for the LGMA to conferences of other related associations is as follows:
    1. The Executive shall determine where it will send LGMA representatives. Funding to attend these conferences shall be allocated in the annual budget.
    2. Any member of the Board, staff or membership may represent the LGMA at another association's conference, upon prior approval from the Board.
    3. The President, in the LGMA annual budget, shall have a discretionary travel budget for reasons other than inter-association conference travel.
    4. Each LGMA representative attending a conference of a related association expected to prepare a verbal report and chaperone/guide the reciprocal delegate at the following LGMA annual conference. 
    5. The written report is to be prepared and provided to the Board at the next Regular Executive Board Meeting.
